Cancellation & Refund Policy

1. How to Cancel

To cancel your booking, please follow these steps:

1. Email us at info@funandjoytours.com with your booking reference number
2. Include your reason for cancellation (optional but helpful)
3. Await confirmation of cancellation within 24-48 hours
4. Refund will be processed within 7-14 business days to your original payment method

Cancellations are effective from the date we receive your written request, not the date of your original booking.

2. Destination-Specific Policies

2.1 Bhutan Tours

Bhutan tours have additional considerations due to the Sustainable Development Fee (SDF):

• The $200/night SDF is non-refundable once visa processing begins
• Visa application fees are non-refundable
• Hotel cancellation charges may apply based on their individual policies

2.2 International Tours (Bali, Thailand, Vietnam)

• Flight tickets are subject to airline cancellation policies
• International hotels may have stricter cancellation windows
• Visa fees are non-refundable

2.3 Domestic Tours (Kerala)

• Train tickets are refundable as per Indian Railways policy
• Houseboat bookings during peak season may be non-refundable
• Standard cancellation tiers apply for other services

3. Non-Refundable Items

The following are non-refundable regardless of cancellation timing:

• Visa fees and processing charges
• Travel insurance premiums
• Special permits (e.g., restricted area permits for certain regions)
• Festival/event tickets once purchased
• Customization and planning fees for bespoke itineraries

4. Changes and Amendments

4.1 Date Changes

If you wish to change your travel dates instead of cancelling:

• Free date change if requested more than 30 days before departure
• Subject to availability and any fare differences
• Changes within 30 days may incur supplier penalties

4.2 Traveler Changes

Name changes or substituting travelers:

• May be possible depending on supplier policies
• Airline tickets are generally non-transferable
• Administrative fee of ₹2,000 per change may apply

5. Cancellation by Fun & Joy Tours

We may cancel your booking under the following circumstances:

• Natural disasters or force majeure events
• Political unrest or government travel advisories
• Minimum group size not met (for group tours)
• Non-payment by the due date

If we cancel for reasons within our control, you will receive:

• Full refund of all payments made
• Option to reschedule to alternative dates at no extra cost
• 10% discount on a future booking

6. Force Majeure

In cases of unforeseen circumstances beyond our control (including but not limited to pandemics, natural disasters, war, terrorism, or government restrictions), we may:

• Offer full credit for future travel valid for 12 months
• Provide partial refund minus any irrecoverable costs
• Assist with rebooking to alternative dates or destinations

7. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that includes:

• Trip cancellation and interruption coverage
• Medical emergency coverage
• Evacuation coverage
• Baggage loss protection

Travel insurance can protect you financially if you need to cancel for covered reasons such as illness, injury, or family emergencies.

8. Refund Processing

8.1 Timeline

• Refund approval: Within 5 business days of cancellation confirmation
• Credit card refunds: 7-14 business days
• Bank transfers: 5-10 business days
• International transfers: 15-20 business days

8.2 Refund Method

Refunds will be processed to the original payment method. If this is not possible, we will arrange an alternative method in consultation with you.

9. Disputes

If you disagree with our cancellation decision or refund amount:

1. Email us with your concerns and supporting documentation
2. We will review and respond within 10 business days
3. If unresolved, mediation options are available
